How YouBox Works

From setup to your first guest vote in under five minutes. Here's the full walkthrough.

1

Create your venue

Getting started takes less than a minute. Sign in with your Google account — one click, no passwords to remember. Once you're in, create a venue by giving it a name. That's it. Each venue gets its own independent queue, a unique guest link for sharing, and a dedicated screen display URL you can throw up on any TV or monitor. The Free plan gives you one venue with up to five playlists, which is more than enough to try everything YouBox has to offer. You can always upgrade later if you run multiple locations or want advanced features like guest track suggestions and YouTube mirror sync. Your venue dashboard shows all connected screens, active guest sessions, and real-time queue status at a glance.

2

Build your playlist

Add tracks by pasting YouTube URLs or searching by title directly from your dashboard. The queue uses a carousel-style rotation system — tracks never disappear after they play. Instead, they cycle back to the end of the queue in a weighted order that factors in guest votes and play history. Popular tracks surface more often while less popular ones gradually fade back. You can reorder, remove, or add tracks at any time from the owner dashboard without disrupting what's currently playing. Import an existing YouTube playlist to get started quickly, or build one from scratch track by track. YouBox automatically fetches track titles, thumbnails, and durations from YouTube so your queue looks polished without any manual data entry.

3

Share with guests

Every playlist automatically gets a unique public link and a QR code. Print the QR code and place it on tables, tape it to the bar, or display it on a screen near the entrance. You can also text or message the link directly to guests. When someone opens it in any browser — on their phone, tablet, or laptop — they see the current queue and can start voting immediately. No app download required, no sign-up, no account creation. The experience is instant and frictionless, which means more of your guests actually participate and engage with the music. The guest page loads in under two seconds on mobile networks and works offline-first — once loaded, guests can browse the queue even with intermittent connectivity.

4

Guests vote, you moderate

Guests vote on which of the next three tracks plays next, giving them real influence over the playlist without handing over full control. They can also give a thumbs-up or thumbs-down to the currently playing track. If a majority of connected guests downvote, the track automatically skips. If a majority upvote, the track gets requeued at a favorable position scaled by vote enthusiasm — unanimous approval puts it near the top, while a bare majority places it closer to the end. On Basic and Pro plans, guests can suggest new tracks that appear in your approval queue so you always have final say. Vote results update in real time across all connected devices, so guests see the impact of their vote immediately without refreshing the page.

5

Control from anywhere

The staff remote control gives you full queue management from your phone through a dedicated link — no need to be near the venue's main device or display. Skip tracks, reorder the queue, approve or reject guest suggestions, and monitor what's currently playing, all from a mobile-friendly interface. Multiple staff members can share the same remote link, so your bartender, DJ, or manager can all have control. The remote updates in real time via WebSocket, so every change is reflected instantly across all connected screens and guest devices. The remote control works over any internet connection, so you can manage your venue's music from home, from the bar next door, or from across town.
