Frequently Asked Questions

Everything you need to know about YouBox for your venue.

How does YouBox work for coffee shops and bars?

YouBox lets venue operators create a shared playlist that guests control through voting. You set up a venue, build a playlist with YouTube tracks, and share a QR code or link. Guests scan it on their phone — no app download needed — and vote on what plays next from the upcoming queue. The venue owner keeps full control through a phone-based remote, and can skip, reorder, or approve guest suggestions at any time. It works for any venue type: coffee shops use it for laid-back afternoon sets, bars use it for high-energy Friday nights, and gyms use it to let members pick workout tracks. The platform handles everything from morning coffee shop ambient sets to high-energy bar nights, adapting to your crowd's taste through the voting mechanism without requiring you to curate every track manually.

Can guests request songs without downloading an app?

Yes — guests never need to download anything. YouBox runs entirely in the browser. When a guest scans the venue's QR code or opens the shared link, they see the current queue and can start voting immediately. On Basic and Pro plans, guests can also suggest new tracks by pasting a YouTube URL or searching. The venue owner reviews and approves suggestions from the staff remote control. There is no sign-up, no account creation, and no personal data collected from guests. Guest identity is handled through anonymous device fingerprints so the same person cannot vote twice in the same round. The browser-based approach also means YouBox works on any device — smartphones, tablets, even laptops — across iOS, Android, and desktop operating systems without compatibility issues.

What is the difference between YouBox Free, Basic, and Pro plans?

The Free plan includes 1 venue and 5 playlists with all core features: guest link sharing, voting on the next track, now-playing thumbs up/down, staff remote control, and community playlist sharing. The Basic plan ($69/month) expands to 5 venues and 50 playlists, and adds guest track suggestions with an owner approval workflow. The Pro plan ($420/month) supports 50 venues with unlimited playlists, and adds YouTube Top20 mirror sync per venue (automatically creates an unlisted YouTube playlist of your most-played tracks) plus guest direct-add and vote game modes. All plans include unlimited guest connections per venue, real-time updates, and the full community playlist library. The upgrade path is designed so you never lose access to features you already use.

Does YouBox work with Spotify?

No — YouBox uses YouTube as its sole music provider. Every track in YouBox is a YouTube video. This was a deliberate design choice: YouTube has the largest music catalog including live performances, remixes, and niche tracks that aren't available on streaming platforms. It also means venues don't need a separate Spotify Premium subscription. The tradeoff is that YouTube's catalog occasionally includes user-uploaded content with variable audio quality, but for venue playback through speakers the difference is negligible. YouTube's API also allows YouBox to fetch track metadata, thumbnails, and durations without requiring venue owners to authenticate with a personal account. If YouTube availability is a concern for your region, YouBox displays clear error states when a track is unavailable rather than silently skipping, so venue owners always know what their guests are hearing.

How do venue owners prevent inappropriate song requests?

YouBox gives venue owners multiple layers of control. First, on the Free plan, guests can only vote on tracks already in the queue — they cannot add new tracks, so the owner has full control over what's available. On Basic and Pro plans where guests can suggest tracks, every suggestion goes through an owner approval workflow before it enters the queue. The owner sees the suggestion on their staff remote and can approve or reject it with one tap. Additionally, the owner can skip any currently playing track instantly, remove tracks from the queue, and reorder the queue at any time. The staff remote control works from any phone, so any trusted staff member can moderate. For venues that want tighter control, the Free plan's voting-only model means your pre-curated playlist is the entire universe of available tracks, giving you complete content oversight with zero moderation effort.

What is the carousel queue and how does it work?

Unlike traditional playlists where tracks are removed after playing, YouBox uses a carousel-style queue. When a track finishes playing, it rotates to the end of the queue rather than disappearing. This means your playlist never runs out of music — tracks cycle back and replay in a weighted order that accounts for guest votes, play recency, and overall popularity. Tracks that receive more upvotes rotate back sooner, while tracks that get downvoted are pushed further back. This creates a self-curating playlist that improves over time based on your crowd's preferences without requiring constant manual management from the venue owner. The carousel model is particularly effective for long operating hours — a coffee shop open from 7am to 10pm never needs to worry about running out of music, even with a modest playlist of 30-40 tracks.

Can multiple staff members control the queue?

Yes. Each playlist has a dedicated remote control link that can be shared with any trusted staff member. Anyone with the remote link can skip tracks, reorder the queue, approve or reject guest suggestions, and monitor what's currently playing. The remote works on any phone or tablet — no special hardware or app needed. If you need to revoke access, you can rotate the remote token from the owner dashboard, which invalidates the old link and generates a new one. There is no limit on how many staff members can use the remote simultaneously, and all changes are reflected in real time across all connected devices. All remote actions are logged with timestamps, so venue owners can review who made changes and when. The remote interface is optimized for quick one-handed operation during busy service periods.

How does guest voting work?

Guest voting happens in two ways. First, up-next voting: guests see the next 3 tracks in the queue and vote for which one should play next. Votes are tallied per round, and the track with the most votes moves to the front. Second, now-playing voting: guests can give a thumbs up or thumbs down to the currently playing track. If a majority of connected guests downvote, the track is automatically skipped. If a majority upvote, the track is flagged for requeue at a dynamic position scaled by vote enthusiasm — a unanimous upvote requeues the track near the front, while a bare majority puts it further back. Each guest device can only vote once per round to prevent ballot stuffing. The voting system is designed to be lightweight — guests see clear visual indicators of which tracks are leading, and the entire interaction takes under five seconds from scan to vote.

What is the YouTube Top20 mirror sync?

Available on the Pro plan, YouTube Top20 mirror sync automatically creates and maintains an unlisted YouTube playlist containing your venue's 20 most-played tracks. The sync runs daily, analyzing play events to determine which tracks your crowd plays most often, then updates the YouTube playlist to match. This gives venue owners a shareable YouTube playlist that reflects their venue's actual music taste — useful for marketing, social media, or letting regulars listen at home. The YouTube playlist is unlisted (not public) so only people with the link can find it. The sync is fully automatic and requires no manual intervention after initial setup. The mirror playlist is perfect for social media marketing — share it on your venue's Instagram or website to show potential customers what kind of music your regulars enjoy.

Is YouBox free to use?

Yes — the Free plan is genuinely free with no time limit, no credit card required, and no feature gating on core functionality. You get 1 venue, 5 playlists, guest link sharing, voting, now-playing thumbs up/down, staff remote control, and community playlist sharing. The Free plan is designed to be fully functional for a single-venue operator who wants crowd-powered music without any cost. Paid plans (Basic at $69/month, Pro at $420/month) add multi-venue support, higher playlist limits, guest track suggestions with approval workflows, and advanced features like YouTube mirror sync. You can upgrade or downgrade at any time. There is no trial period on paid plans either — if you upgrade, you keep full access for the billing period even if you decide to downgrade. Your playlists, venues, and play history are never deleted when changing plans.
